Updated 5 October 2026. This is a researched guide, not a hands-on performance test. Examples below are illustrative. Features and prices can change.
Choose a team workspace around where your work belongs. If approved documents and knowledge are the main need, investigate Notion. If assigned work, deadlines and project updates are the main need, investigate ClickUp. AI features should support that choice rather than decide it alone.
Notion’s AI page describes workspace and connected-information features. ClickUp’s Brain guide describes assistance with tasks. This is a researched workflow comparison, not a measured usability test.
What does your team need to find?
| Repeated question | Workflow to evaluate |
|---|---|
| Where is the latest policy? | Document ownership, search and update history |
| Who is doing this task? | Assignments, status and due dates |
| What changed this week? | A summary that links to the underlying work |
| Who can see this information? | Permissions and connected-source access |
Test one small project
Use a made-up launch project with five tasks and three short documents. Give each item a clear owner. Include an old document and a task with no deadline. Ask the AI feature to prepare a project update.
Check whether the update uses the current document, identifies the missing date and distinguishes completed work from plans. This is a proposed test; we have not run it on either product.
Keep source information clean
An AI summary cannot reliably fix unclear records. Agree how to name documents, who updates them and where decisions are recorded. If the same policy exists in three conflicting versions, clean that up before adding more search tools.
Check permissions before connecting apps
Confirm which people can access documents and what the AI can retrieve. Use a harmless sample to test restricted information. Do not assume that connecting a shared drive gives the right access automatically. Follow the organisation’s approved setup.
Compare the full team bill
Check Notion’s plan page and ClickUp’s pricing for current seats, AI access, limits and add-ons. Multiply by the number of people who need the feature. Include guest rules and contract length.
A migration decision
If the team already uses one platform successfully, test its available features before moving everything. A migration involves training, permissions and cleaning old records. Count that work as part of the cost.
Recommendation
Choose the system your team can maintain consistently, then assess its AI assistance on one real type of task. Keep source links in summaries and a person responsible for decisions. Our remote work app guide explains how to reduce tool overlap. Provider links here are non-affiliate links.
